How to Solve Common Mass Importing and Exporting Issues with Data and Images in Secure

When using AlphaCard Visitor Pass as your primary means of entering or collecting data, it is often beneficial to backup your data to a different location. Similarly, if AlphaCard Visitor Pass is not your primary data entry location, being able to import in all the data from another source is incredibly handy. However, there are multiple ways that the process can fail.

Common Mass Import/Export Issues with Data and Images

Importing Data Issues

When working with data, there are two main issues that can cause problems:

  • Incorrect Data Formatting
  • Permission Issues

With data formatting, this will either completely stop the data from importing, or it will corrupt the data as it imports into AlphaCard Visitor Pass. To correct this, first make sure that the file you are trying to import is a .csv file – any other files are not compatible for importing information into AlphaCard Visitor Pass.

Second, if the data is importing but seems to be importing at random, please make sure that the data is correct within the .csv. If the information has shifted a column, or the column names are not set correctly, data can be put in the incorrect column. We recommend opening or converting the .csv to Excel, since reading .csv files in their natural state can be incredibly difficult.

Permission issues are more common when exporting data, but they can cause issues with importing data as well. Since AlphaCard Visitor Pass only requires read permissions from the .csv that you are importing, normally the software will be unable to even browse to the correct location.

Rarely however, the process will fail when you attempt the import. In almost all cases this is due to domain permissions on a network file server. We recommend getting an IT admin to copy the .csv file to the local desktop, import the data, and then delete the file.

Exporting Data Issues

For exporting data, the only main reason that the export will fail is due to permission issues. Since the export process requires write permissions to the folder you are exporting, we recommend saving to a public or user-specific folder.

Additionally, we recommend running AlphaCard Visitor Pass as an administrator before attempting an export. If the data is still not exporting to the location, you may have to contact your IT department for further troubleshooting.

Importing Images Issues

When importing images, the issues are generally in two areas:

  • Incorrect Photo Format
  • Database Information Mismatch

First, and most importantly, to import an image into AlphaCard Visitor Pass the file type must be an image file. Adobe Acrobat, Microsoft Word, and Microsoft Powerpoint files, while they may contain an image, are not image files. Please save the files as .jpg, .png, or .bmp and continue the import process.

Second, if the images are image files but still not importing, most likely there is a data mismatch. To import correctly, the image name must match exactly with the data in the field that you selected. If there is any difference at all, the process will fail. Please either update the database within AlphaCard Visitor Pass, or change the names of the photos to match the database.

Exporting Images Issues

While exporting images, the main reason that the export will fail is due to permission issues. Since the export process requires write permissions to the folder, and permission to create quite a few files within a short span, we recommend saving to a public or user specific folder.

Additionally, we recommend running AlphaCard Visitor Pass as an administrator before attempting an export. If the images are still no exporting to the location, you may have to contact your IT department for further troubleshooting.
